This checklist is for hosts who rent SE2 silent disco equipment and run the night themselves, whether in Buffalo, Rochester, elsewhere in Western New York, or at a shipped-rental location. It puts the decisions and tasks in order, from the first headphone count to the final return. 1. Count your headphones

Start with the maximum number of people who could attend, not the current RSVP total. Every guest who dances needs a working headset, and a small cushion covers late arrivals and the odd unit that needs swapping.

SE2 rents headphones in groups of 25 at $5 per headphone per rental day. A worked example: a 60-guest party with a cushion rounds up to three groups, which is 75 headphones, or $375 for the headphones. A 110-guest school night rounds up to five groups (125 headphones). 2. Decide your channels and transmitters

Each music channel needs its own transmitter and its own music source. One channel is simplest and works when everyone should hear the same program. Two or three channels give guests a choice, which is the reason many hosts choose a silent disco in the first place.

  • Transmitters rent at $50 each, one per channel.
  • For three channels, plan on three separate music devices (phones, laptops, tablets or DJ outputs) and three transmitters.
  • SE2 rentals include headphones, transmitters, power cables and setup guidance. You supply the music devices.

Keep channels clearly different. Two distinct playlists usually beat three similar ones, and every channel needs someone responsible for keeping its music playing.

3. Lock in the booking

A rental is confirmed once the paperwork and payments are in place. Have these ready:

  • A signed digital rental agreement, a driver's license and a credit card on file.
  • Payment in full 30 days before the rental to hold your date. Sales tax applies to headphone and transmitter rentals unless your organization is tax exempt.
  • A refundable security deposit sized to the rental: $250 for 25 to 100 headphones and $500 for 101 to 200, rising by $250 for each further group of up to 100.

4. Choose delivery, pickup or shipping

Local Buffalo and Rochester drop-off or pickup is typically available when confirmed. Outside the local area, rental gear can ship by common carrier when timing and inventory allow, planned to arrive before the event with return instructions and a return label. Delivery, pickup or shipping charges depend on your location and are confirmed in your quote. Name the person who will receive the equipment and where it will be stored safely until the event.

5. Check the venue

Walk the space, or ask the venue, before the event:

  • Power near where the music devices and transmitters will sit.
  • A secure spot for transmitters and cases, away from drinks and foot traffic.
  • A check-in and return table that will not block an entrance.
  • Weather protection for any outdoor equipment and guests.
  • The venue's sound rules and required end time. Headphones reduce amplified music, but you still need the venue's permission and must follow local rules.

6. Test before guests arrive

Set aside time for a full test before doors open:

  1. Power on the headphones.
  2. Start each music source and confirm each channel color matches the right transmitter.
  3. Listen on several headsets around the area where guests will dance, starting at a low volume.
  4. Keep power cables secure and out of walkways.

Do not assume an advertised range applies to every room. Test where your guests will actually be.

7. Run the handoff and the night

Assign one person to the headphone table. At handoff they show each guest how to power on, change channels and adjust volume. When a headset is silent, check power, volume and channel first, then compare with a working headset on the same channel. If several headsets lose one channel, check that channel's music source, cable and transmitter power. Keep a few spares at the table so guests can swap instead of waiting.

8. Collect and return the equipment

Announce the last song on every channel and point guests to one return spot. Then:

  • Turn off and count every headset before packing.

  • For shipped rentals, send the gear back within 3 days using the prepaid return label when one is provided.

SE2 refunds the deposit after the equipment is received in working condition, typically within 7 days.
